Job Description
Roles & Responsibilities
Welcoming guests, clients, and interviewees warmly and directing them to the appropriate person or office.
Answering, screening, and forwarding incoming phone calls while providing basic information when needed.
Maintaining a visitor logbook, issuing visitor badges, and ensuring office security protocols are followed at the front desk.
Ensuring the reception area, meeting rooms, and common spaces are kept tidy, presentable, and equipped with necessary materials.
Mail & Deliveries: Receiving, sorting, and distributing daily mail, packages, and couriers. Preparing outgoing mail.
Monitoring office supplies (stationery, pantry items), placing orders, and keeping inventory records.
Performing basic clerical duties such as filing, photocopying, scanning, and faxing.
Maintaining and updating internal databases, employee contact lists, and filing systems (both physical and digital).
Managing appointment calendars, scheduling meetings, and reserving conference rooms.
Assisting with the setup of meeting rooms, arranging catering if needed, and preparing necessary documents.
Acting as the point of contact for building management, cleaning services, or maintenance vendors to report and resolve office issues.
Monitoring the general company inbox, responding to routine inquiries, and routing important emails to the relevant departments.
Drafting and distributing basic internal memos, announcements, and emails to staff.
Desired Candidate Profile
Key Skills Required for this Role:
Excellent verbal and written communication skills.
Strong organisational and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace.
A professional, polite, and customer-service-oriented demeanour.
