Roles & Responsibilities

Under the supervision of the Administrative and Financial Manager of the Agadir Office, the person recruited will provide support functions to the Agadir project office as well as to secondary offices in matters of accounting and finance, budget monitoring, logistics and administration.

Specific tasks include, but are not limited to:

  • Finance
    • Prepare the files and settlement documents in accordance with the ASEFOA project procedures;
    • Support the receipt and processing of invoices;
    • Record accounting transactions in the different journals;
    • Manage the petty cash of the Agadir office according to the rules of the ASEFOA procedures manual;
    • Participate in the preparation of monthly financial reports to be submitted to Cowater headquarters, respecting the prescribed deadlines;
    • Ensure the filing and archiving of accounting documents;
    • establish budget monitoring and financial performance reports for project activities;
    • Support the animation team and team members in preparing activity budgets and ensuring their follow-up;
    • Support the Head of Mission and the RAF to maintain good collaboration with partners, particularly ANDZOA, regarding the organization and monitoring of in-kind contributions;
    • Assist the Administrative and Financial Manager in all financial management activities of the project.

  • Logistics
    • Ensure the smooth operation of logistics and maintenance of the ASEFOA office and regional branches;
    • Ensure the management of office supplies and asset inventory in accordance with ASEFOA procedures;
    • Ensure proper management of telephone and paper communications;
    • Ensure project procurement by ensuring fair competition and strictly adhering to procurement rules regarding supplier relations;
    • To ensure and prepare the logistics for visits, missions and meetings of the local ASEFOA team, Cowater teams at headquarters and various national and international visitors;
    • Providing logistical support for all business activities, including meetings, booking training rooms, booking and coordinating local transport and accommodation for staff or consultants, and awarding contracts for the recruitment of consultants;
    • Ensure the monitoring of vehicle maintenance logs, fuel consumption, and the renewal of insurance and technical inspections of project vehicles;
    • Ensure the monitoring and control of maintenance services (visit sheets, signature of interested parties, effectiveness of repairs, control of billed time ...);
    • Comply with ASEFOA's safety rules and procedures regarding the transport and management of assets;
    • Provide support to team members for the preparation of project deliverables (printing, filing, sending, etc.);
    • Any other tasks assigned, as needed.

Desired Candidate Profile

Bachelor's degree (Bac+3) in management, economics or equivalent;

  • Knowledge of the MS Office suite and advanced Excel skills, experience with Quickbooks software is an asset;
  • Organization and attention to detail;
  • Autonomy and ability to work in a team;
  • Minimum 5 years of experience in development or international cooperation projects or in a similar position;
  • Knowledge of the rules and procedures of international donors regarding supply and security;
  • Adherence to the principles of equality between women and men is essential.
