Job Description
Roles & Responsibilities
We are seeking a reliable and organized Administrative Assistant to join our team. The ideal candidate will be responsible for preparing invoices, greeting and assisting visitors, and following up with clients to ensure smooth operations and excellent customer service.
Key Responsibilities:
Prepare, issue, and track invoices accurately and on time.
Follow up on outstanding payments and update records accordingly.
Welcome and greet visitors in a professional and friendly manner.
Answer phone calls, emails, and direct inquiries to the appropriate personnel.
Maintain organized client files and ensure all documentation is up to date.
Assist with day-to-day administrative tasks and support office operations.
Schedule appointments and manage meeting calendars when required.
Coordinate with internal departments to resolve client queries.
Requirements:
Proven experience in administrative, invoicing, or front desk roles.
Proficiency in MS Office (Word, Excel, Outlook); experience with invoicing software is a plus.
Excellent communication and interpersonal skills.
Strong organizational and time-management abilities.
Attention to detail and a high level of accuracy.
Ability to multitask and prioritize in a fast-paced environment.
High school diploma required; associate or bachelor s degree in Business Administration or related field is a plus.
Fluent in written and spoken English/Arabic/French
