Job Description

Roles & Responsibilities

  • Provide comprehensive administrative support to executives and team members, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Prepare, proofread, and distribute correspondence, reports, and presentations with a high degree of accuracy and professionalism.
  • Maintain organized filing systems, both electronic and physical, ensuring easy retrieval of documents and records.
  • Serve as the primary point of contact for internal and external communications, handling inquiries and directing them appropriately.
  • Assist in organizing company events, meetings, and conferences, including logistics, catering, and materials preparation.
  • Monitor and order office supplies, ensuring inventory levels are maintained and cost-effective purchasing is practiced.
  • Support the onboarding process for new employees by preparing workstations, coordinating orientation schedules, and managing documentation.
  • Handle confidential information with discretion and maintain a high level of professionalism at all times.
  • Track and process expense reports, invoices, and other financial documents in accordance with company policies.
  • Collaborate with various departments to support special projects and ensure seamless office operations.

Desired Candidate Profile

  • 3-5 years of proven experience in an administrative or office support role.
  • Excellent organizational and multitasking abilities, with keen attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Ability to prioritize tasks and work independently in a fast-paced environment.
  • Demonstrated professionalism and discretion when handling sensitive information.
  • Strong interpersonal skills and a customer-service oriented mindset.
  • Ability to adapt to changing priorities and manage multiple deadlines.
  • Experience coordinating meetings, travel, and events.
  • Reliable, punctual, and committed to maintaining a positive office atmosphere.
