Job Description

Roles & Responsibilities

  • Provide comprehensive administrative support to attorneys and legal staff, including managing calendars, scheduling meetings, and coordinating appointments.
  • Prepare, proofread, and format legal documents, correspondence, and reports with a high degree of accuracy and confidentiality.
  • Maintain and organize physical and electronic filing systems for legal documents, case files, and client records.
  • Handle incoming calls, emails, and correspondence, directing inquiries to the appropriate parties and ensuring prompt responses.
  • Assist with billing, invoicing, and time entry processes to support the firm s financial operations.
  • Coordinate travel arrangements, conference registrations, and logistics for attorneys and staff as needed.
  • Monitor and order office supplies, ensuring the law firm is well-equipped for daily operations.
  • Support the onboarding process for new hires, including preparing workstations and orientation materials.
  • Liaise with clients, court officials, and external vendors to facilitate smooth communication and workflow.
  • Ensure compliance with legal and ethical standards in all administrative processes.

Desired Candidate Profile

  • Minimum of 3 years and up to 5 years of experience in an administrative role, preferably within a law firm or legal environment.
  • Proven ability to handle sensitive and confidential information with discretion.
  • Strong organizational and multitasking skills, with keen attention to detail.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal management software.
  • Demonstrated ability to prioritize tasks and meet deadlines in a fast-paced office setting.
  • Experience coordinating schedules, meetings, and travel arrangements.
  • Familiarity with legal terminology and document management systems.
  • Ability to work independently and collaboratively as part of a team.
  • Professional demeanor and strong interpersonal skills.
