Job Description
Roles & Responsibilities
1. Prepare sub-plans and executive programs for administrative affairs to achieve the organization's primary objectives.
2. Supervise projects and ensure they are operating in accordance with the company's objectives.
3. Ensure that work within the company complies with laws and regulations and sets the company's administrative objectives.
4. Participate in senior management meetings and provide feedback on the necessary results and decisions.
5. Inform all employees of administrative decisions after their approval.
6. Approve all disbursement documents after signing and reviewing them with the Finance Director.
7. Attend Board of Directors meetings and assist in drafting and codifying recommendations and decisions issued and developing appropriate plans.
8. Manage the organization's periodic meetings and assist in issuing appropriate decisions.
9. Implement approved quality plans for administrative affairs, including reviewing and auditing the annual budget.
10. Participate in drafting and preparing administrative affairs procedures with the Quality System Management Representative and the Planning Manager.
11. Review and audit procedures, forms, records, and instructions related to the quality system for administrative affairs.
12. Follow up, preserve, and maintain licensing, commercial, industrial, and tax registration documents, and monitor the validity and validity of these documents.
13. Review and audit the final lists of promotions, job placements, and salaries at the end of each year.
14. Verify that all administrative instructions are actually followed and impose penalties on violators.
15. Review and approve the monthly payroll and salary statements, and work directly with accountants and department heads to prepare the company's budget and monitor expenses.
16. Approve leave requests and appointment and termination decisions.
17. Responsible for dealing with external governmental and non-governmental entities.
18. Regulate vehicle traffic.
19. Coordinate with the Public Affairs Department to complete employee files and submit and receive weekly and monthly reports to senior management.
20. Responsible for all company activities and its various management vis- -vis governmental and non-governmental entities.
Desired Candidate Profile
- Minimum of 15 year of experience in administrative management or a related field.
- Proven ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Strong leadership and team management skills with experience supervising staff.
- Excellent organizational and problem-solving abilities.
- Exceptional written and verbal communication skills.
- Proficiency in office software and administrative tools.
- Demonstrated ability to handle confidential information with integrity.
- Experience working in a hybrid (home and office) arrangement is preferred.
- Strong attention to detail and commitment to accuracy.
- Ability to collaborate effectively with cross-functional teams.
