Job Description
Roles & Responsibilities
Key Responsibilities:
- Administrative Operations:
- Supervise and manage teams of administrative assistants to ensure smooth office operations.
- Organize and monitor departmental activities to provide effective administrative services.
- Process Improvement:
- Develop and implement internal policies and procedures to enhance operational efficiency.
- Prepare operational summaries and reports for senior management.
- Financial Records and Inventory Management:
- Maintain and appropriately classify administrative and financial records.
- Ensure adequate inventory of office supplies and manage procurement processes.
- Vendor and Contract Management:
- Manage relationships with external vendors and negotiate contracts to ensure favorable terms.
- Oversee the timely and accurate delivery of services from external parties.
- Data Protection and Security:
- Ensure that all electronic data and files are properly secured and protected.
- Implement measures to safeguard sensitive information.
Qualifications:
- Ability to work effectively in fast-paced environments.
- Strong project management skills and attention to detail.
- Excellent conflict resolution and problem-solving abilities.
- Proven ability to prioritize tasks effectively and manage time efficiently.
- Excellent interpersonal and communication skills, both verbal and written.
- Strong relationship management and emotional intelligence skills.
- Ability to collaborate and work effectively with teams at all levels.
- Basic computer knowledge, and proficiency in office software (Word, Excel, PowerPoint).
