Job Description

Roles & Responsibilities

Manage and organize Clinic office operations, ensuring a smooth workflow and efficient administrative processes.

  • Prepare, format, and proofread correspondence, reports, and other documents for accuracy and professionalism.
  • Schedule and coordinate meetings, appointments, and travel arrangements for patients and Doctors.
  • Maintain and update filing systems, both electronic and physical, to ensure easy retrieval of information.
  • Handle incoming calls, emails, and other communications, directing inquiries to the appropriate personnel.
  • Assist in the preparation and distribution of meeting agendas, minutes, and follow-up materials.
  • Monitor and order office supplies, ensuring adequate inventory and cost-effective purchasing.
  • Support the onboarding process for new employees by preparing documentation and coordinating orientation schedules.
  • Liaise with internal departments and external partners to facilitate smooth communication and workflow.
  • Uphold confidentiality and discretion when handling sensitive information and documents.

Desired Candidate Profile

Up to 2 years of experience in an administrative, secretarial, or office support role.

  • Proven ability to manage multiple tasks and prioritize effectively in a fast-paced office environment.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office equipment.
  • Attention to detail and a high degree of accuracy in all work.
  • Ability to work independently as well as collaboratively within a team.
  • Professional demeanor and strong interpersonal skills.
  • Discretion in handling confidential information.
