Job Description
Roles & Responsibilities
Administrative Secretary
1. Administrative management:
- To manage incoming and outgoing mail.
- Keep up to date the various administrative registers and files (students, staff, etc.).
- Drafting and distributing letters, notes and reports.
- Organize meetings, take minutes and ensure follow-up on decisions.
- Manage the institution's archives.
Reception and public relations:
- Welcoming and informing students, parents, teachers and visitors.
- Manage the telephone switchboard and ensure messages are taken.
- Scheduling appointments and managing calendars.
Support for teaching teams:
- Prepare the teaching materials (margin sheets, notes, etc.).
- To manage registrations and re-registrations.
- Manage orders for school and administrative supplies.
2. Management of school life:
- Participate in the organization of exams and assessments.
- Update the schedules.
- Manage absences and lateness.
Required skills
1. Comp tences techniques :
- My perfect mastery of office tools (Word, Excel, PowerPoint).
- Ability to type quickly and type on a keyboard.
Interpersonal skills:
- Excellent oral and written communication skills.
- Ability to work in a team and adapt to different interlocutors.
- Sense of public service and discretion.
2. Personal qualities:
- Rigour, organisation and method.
- Sense of responsibility.
- Autonomy and initiative.
- Professional discretion.
