Job Description

Roles & Responsibilities

What You'll Be Doing:

  • Maintain organized archives, ensure traceability of all records and track submissions and approvals.

  • Maintain audit readiness and Prepare documentation gap report

  • Coordinate to collect missing documents.

  • Control document versions and Organize physical and digital files

  • Support audit reviews and Maintain confidentiality controls

  • Track correspondence and prepare document status summaries.

  • Assists with developing or updating reports based on team needs and supervisor direction

  • Verifies data accuracy, such as checking supplier invoices against internal records

  • Distributes reports, updates, and documentation as assigned by the supervisor

  • Prepares basic correspondence and internal documents that do not require supervisor review

  • Answers phone calls, takes messages, and directs inquiries to the appropriate team member

  • Sorts and distributes incoming mail and helps maintain organized filing systems

  • Tracks office equipment usage and service history; submits service requests as needed

  • Gathers and inputs data to support the team s overhead budget; assists with regular budget reports and basic reconciliation

  • Coordinates workspace and equipment needs (e.g., requests for PCs, phones); updates internal contact directories when needed

  • Supports preparation of staffing and occupancy reports by gathering required information

  • Provides general administrative support to the team, contributing to smooth daily operations

What Required Skills You'll Bring:

  • B.Sc. Degree with 7 ears experience

  • Experience with office software programs such as email, word processing, spreadsheets, graphics, and databases (i.e. MS Office suite of software)

  • Possess and demonstrate strong organizational skills, attention to detail, and written and verbal communication skills

  • Possess and demonstrate the ability to self-start, set priorities, and work both independently and within a team environment under deadlines
