Roles & Responsibilities

Key Responsibilities:

  • Managing the Admissions Process: The Admissions Manager oversees the entire admissions process, from initial inquiry to enrolment. This involves coordinating with prospective students and their families, providing information about the school, conducting interviews or assessments, reviewing applications, and making admission decisions.
  • Developing Admissions Strategies: The Admissions Manager develops and implements strategies to attract and enrol qualified students. This may involve creating marketing materials, organizing open houses or school tours, attending recruitment events, and utilizing various channels to reach prospective students.
  • Reviewing and Evaluating Applications: The Admissions Manager reviews and evaluates student applications, including academic records, recommendation letters, and any additional required documents. They assess applicants based on predetermined criteria and make informed decisions regarding admission.
  • Managing Admissions Staff: If there is a team of admissions counselors or representatives, the Admissions Manager oversees their work, provides guidance and training, and ensures consistent and fair application evaluation practices.
  • Conducting Interviews and Assessments: The Admissions Manager may conduct interviews or assessments with prospective students to evaluate their suitability for admission. This may involve assessing academic capabilities, character, interests, and alignment with the school's values and mission.
  • Maintaining Admissions Records and Data: The Admissions Manager maintains accurate and organized records of applicants, admissions data, and relevant information. This includes tracking enrollment numbers, demographics, and other data that helps in evaluating the effectiveness of admissions strategies.
  • Collaborating with School Staff and Leadership: The Admissions Manager works closely with school staff, such as teachers, administrators, and counselors, to gather information about applicants and ensure a smooth transition for admitted students. They may also collaborate with school leadership on enrollment projections, admissions policies, and marketing efforts.
  • Adhering to Regulatory and Compliance Requirements: The Admissions Manager ensures compliance with applicable laws, regulations, and policies related to school admissions. This includes following admissions guidelines, maintaining confidentiality of student information, and ensuring equal opportunity in the admissions process.
  • Providing Excellent Customer Service: The Admissions Manager interacts with prospective students and their families, providing information, answering questions, and addressing concerns. They ensure a positive experience throughout the admissions process, represent the school professionally, and maintain good relationships with applicants and their families.
  • Analyzing and Reporting on Admissions Data: The Admissions Manager analyzes admissions data and prepares reports for school leadership. This helps in evaluating the effectiveness of admissions strategies, identifying trends, and making data-driven decisions to improve the admissions process.
  • Staying Updated with Education Trends: The Admissions Manager keeps abreast of education trends, best practices in admissions, and changes in policies or regulations that may impact the admissions process. They actively seek opportunities for professional development and networking within the education community.
  • Always maintain a welcoming atmosphere at the front office.
  • Answer all incoming calls, transfer to appropriate desks, take messages and pass it to concerned.
  • Greet/ assist parents, staff, and visitors. To ensure that no one is unattended.
  • Attend to each new admission enquiry with equal dedication.
  • To obtain maximum admissions.
  • To maintain student list class, wise up to date every day.
  • To maintain admission documents properly.
  • To revise the admissions policy and pamphlet every year within
  • To ensure that school tours are conducted effectively and efficiently. To maintain list of bursaries.
  • To ensure that after a student has given assessment, parents are informed of the result within 24/48 hrs.
  • Reply to all emails.
  • To conduct nursery visits to promote admissions.
  • To come up with new marketing strategies for admissions.
  • Assist and support during school events.
  • To maintain data of calls of new admissions.
  • To maintain data of complaint calls.
  • To ensure the cleanliness of the front office be exemplary.
  • To always give a patient hearing to the parents, staff and visitors. Perform any other tasked assigned to the best of your abilities.
  • To give inputs on how the front office can be designed better.
  • To monitor the front office area before assembly and direct students to assembly area.
  • To never leave the front office unattended. To ensure that there is one staff at the front office area always.
  • Responsible for checking student clearance before TC is issued.
  • To maintain daily report of new admissions and vacancies left.
  • Timely circulate letters for siblings/ current students asking for their continuation/ joining.
  • To maintain data of every walk in, to call them when admissions open for next year.
  • To timely have assessments dates revised according to the number of entries.

Performance Management

  • Performance of the Admissions Manager will be monitored and assessed round the year.
  • The Admissions Manager will go through a two-stage appraisal process, with the initial appraisals being done by the Head of Admin and reviewed by the Principal of School.
  • Both the Head of Admin and Principal of School will give their opinions on the desirability of the candidate continuing in the position.

Desired Candidate Profile

Qualifications & Skills:

  • Bachelor s degree in Business Administration, Education, or a related field (preferred).
  • Minimum 2 3 years of experience in school admissions or administrative roles.
  • Strong knowledge of student admissions processes and UAE regulatory requirements (KHDA experience preferred).
  • Proficiency in MS Office and school management systems (e.g., iSAMS, HubSpot).
  • Excellent communication, interpersonal, and customer service skills.
  • Strong organizational and time-management abilities with attention to detail.
  • Ability to multitask, work under pressure, and maintain confidentiality.
