Roles & Responsibilities

Description of the company and the position:

We are recruiting an Administrative Assistant who will be responsible for ensuring the proper administrative functioning of the company. She will play an essential role in the management of files, internal/external communication and support to the various teams.


Main missions:


Ensure the daily administrative management (mail, filing, archiving).

Manage the physical and telephone reception and guide the interlocutors.

Ensure the follow-up and preparation of administrative files.

Support management and teams in the organization of meetings, travel and agendas.

Participate in the drafting and formatting of official documents.

Manage and track office supplies.

Contribute to compliance with internal administrative procedures.

Duties and Responsibilities:


Process, distribute and archive incoming and outgoing mail.

Prepare administrative documents (contracts, notes, reports, minutes).

Organize and plan meetings (convocations, rooms, logistics).

Maintain databases and administrative records.

Liaise between the various internal departments and external partners.

Perform secretarial tasks (typing, layout, agenda management).

Support HR, accounting or sales teams in their ad hoc administrative needs.

Profile :

Formation:


Bac+2/3 in Administrative Management, Secretarial or equivalent.

Experiment:


Minimum 2 to 3 years of experience in a similar position.

Technical skills:


Good command of office tools (Word, Excel, PowerPoint).

Knowledge of document management and archiving techniques.

Good written and oral expression in French (and ideally in English).

Personal qualities:


Sense of organization, rigor and reliability.

Discretion and respect for confidentiality.

Good interpersonal skills and sense of service.

Responsiveness and ability to manage priorities.
