Job Description
Roles & Responsibilities
The Attendance Officer is responsible for monitoring, reviewing, updating, and maintaining accurate employee attendance records. This role ensures timely data validation, exports attendance information to the Payroll system, prepares transportation reports, and maintains detailed attendance and transportation log files to support payroll accuracy and workforce planning.
Key Responsibilities
Attendance Management
- Review, verify, and update daily employee attendance data from attendance systems (biometric, system logs, timesheets, or manual records).
- Monitor punctuality, absenteeism, overtime, leaves, and exceptions.
- Investigate and resolve attendance discrepancies in coordination with employees and line managers.
- Ensure attendance records comply with company policies and labor regulations.
Payroll Coordination
- Validate finalized attendance data prior to payroll processing.
- Export attendance data accurately and securely to the Payroll system within predefined timelines.
- Support payroll teams by providing clarifications, corrections, and audit-ready attendance reports.
Transportation Reporting
- Prepare and maintain monthly and ad-hoc transportation reports based on employee attendance and schedules.
- Track employee transportation usage, routes, and eligibility.
- Coordinate with administration or logistics teams for transportation-related updates and adjustments.
Reporting & Log Files
- Maintain comprehensive attendance and transportation log files for auditing and reference purposes.
- Generate regular attendance, absenteeism, overtime, and transportation reports for HR and management.
- Ensure secure storage and confidentiality of employee data.
System & Process Improvement
- Support improvements to attendance tracking processes and systems.
- Assist with system testing, upgrades, or automation initiatives related to attendance and payroll.
- Ensure data accuracy, consistency, and integrity across all HR systems.
Required Skills & Competencies
- Strong attention to detail and high accuracy in data handling
- Good understanding of attendance, payroll, and HR processes
- Proficiency in Microsoft Excel and HR / attendance management systems
- Ability to manage confidential information professionally
- Strong organizational and time-management skills
- Effective communication and coordination skills
Desired Candidate Profile
Qualifications & Experience
- Bachelor s degree or diploma in Business Administration, Human Resources, Accounting, or related field
- 2 4 years of experience in attendance management, HR administration, or payroll support
- Prior experience with attendance systems and payroll data exports is an advantage
