Job Description
Roles & Responsibilities
The Project Management Assistant (PMA) will report to the BCOps Manager and will support the effective and predictable functioning of the Beirut Center governance model, by conducting day to day operations of BCOps to secure:
- The structured workflow around delivery units and other key players in the site governance, mainly backlog management, decision making process, orchestration and coordination, operational reporting.
- BCOps direct responsibilities such as Business Continuity Plans (BCPs), crisis management readiness, executive reporting, site related visits, events management, and readiness to initiate new initiatives.
1. Operational Support
- Support the BCOps Manager in tracking the operational governance tools (calendars, templates, planners, reminders) and preparing operational checklists and ensure readiness of materials before meetings and ceremonies.
- Manage backlogs, coordinate with involved parties, flag missing inputs, and follow up with task owners for deadlines and action completion.
- Consolidate operational inputs (i.e. from delivery units) and prepare them in a structured manner for review.
- Assist in preparing reporting (quarterly, monthly, weekly) by gathering inputs, checking completeness, formatting, drafting, and ensuring readiness.
- Work closely with Internal Communication and Delivery Units to ensure Beirut Center portal is timely updated.
2. Visits & Events Preparation
- Handle logistics: room bookings, invitations, confirmation of participants, materials preparation, surveys, and follow ups.
- Ensure all needed sessions, documents, and logistics are prepared ahead of time.
- Coordinate the contribution of the different parties (CEO office, business operations, internal communications, other departments).
3. BCP and crisis handling
- Track regular readiness and completeness of Business Continuity Plans and crisis related tools.
- Support the BCOps Manager (crisis coordinator) by maintaining the crisis logbook, action plans, and follow up mechanisms when needed.
Desired Candidate Profile
2-3 years of experience in a project management, project management assistant, business operations, or corporate governance roles.
- Strong organizational, planning, and coordination abilities.
- Ability to structure information, formalize outputs, and maintain rigor in follow ups.
- Analytical mindset and comfort working with KPIs, dashboards, and operational data.
- Ability to manage multiple streams simultaneously with clarity and discipline.
- Proficiency in PowerPoint, Excel, Teams, SharePoint, Planner, and Outlook.
- High reliability, autonomy, confidentiality, and attention to details.
- Operational industrialization, including leveraging AI based tools.
- Ability to work fluidly between proactive planning and reactive problem solving.
