Job Description
Roles & Responsibilities
A. Procurement & Supplier Coordination • Coordinate with approved suppliers and manufacturers for quotations, product documents, and production planning. • Negotiate prices, lead times, and payment terms to ensure cost-effectiveness. • Ensure all supplier documentation complies with public tender and donor requirements • Maintain a supplier performance tracker (on-time delivery, quality, responsiveness).
B. Tender & Project Management • Review, prepare, and submit tenders • Monitor tender announcements and deadlines, coordinating internally for dossier preparation. • Support evaluation of tender outcomes and coordinate clarifications or appeals when required. • Maintain a tender calendar and progress dashboard.
C. Logistics & Supply Chain Execution • Coordinate with logistics providers (air/sea) for timely shipment planning and execution. • Follow up on export documentation • Track cargo movement, customs clearance, and final delivery in destination countries. • Anticipate logistics risks and propose alternative routes. • Ensure compliance with contract.
D. Internal Coordination & Reporting • Collaborate with QA, Finance, and Regulatory teams for project execution. • Follow up on payment processing, supplier advances, and freight invoices. • Prepare regular project progress reports for management. • Maintain a documentation repository (tenders, orders, correspondences, shipment files).
E. Continuous Improvement & SOP Compliance • Ensure adherence to internal SOPs (procurement, sample shipment, logistics, documentation). • Identify gaps and propose improvements in workflows, cost optimization, and timelines. • Support the implementation of digital tools for tracking and data management.
Desired Candidate Profile
Skills & Competencies • Strong understanding of pharma supply chain operations (procurement → delivery). • Knowledge of public market tender processes • Excellent communication and negotiation skills. • High attention to detail, problem-solving, and ability to multitask. • Familiarity with Incoterms, QA documentation, and logistics documentation. • Proficiency in MS Excel, PowerPoint, and ERP tools. • Fluency in French and English
Educational & Professional Requirements • Bachelor’s degree in supply chain, Business Administration, or related field. • Minimum 7 years of experience in operations, procurement, and logistics — ideally in pharmaceuticals or public health supply chains. • Experience working with donor-funded or institutional procurement programs is a strong plus.
