Roles & Responsibilities

Job Scope:
The CEO Office Manager provides high-level administrative, organizational, and coordination support to the
Chief Executive Officer. The role serves as a central point of contact between the CEO and internal
stakeholders, ensuring effective communication, efficient time management, and smooth execution of executive priorities. The position requires discretion, strong organizational skills, and the ability to consolidate information into clear reports and presentations for senior leadership and the Board.

Executive Support & Calendar Management

  • Manage and organize the CEO s calendar, including scheduling meetings, appointments, and executive
    commitments.
  • Gatekeep and assess meeting requests, ensuring alignment with CEO priorities.
    Coordinate domestic and international travel, ensuring efficiency, security, and readiness.

Stakeholder Coordination & Communication

  • Act as the central coordination authority between the CEO and department heads on strategic,
    operational, and follow-up matters.
  • Ensure clarity of CEO directives, deadlines, and expected outputs across leadership teams.
  • Handle sensitive information with a high level of confidentiality and professionalism.

Administrative & Office Management

  • Oversee administrative operations related to office supplies, buffet supplies, and general office
    requirements.
  • Coordinate with maintenance and service providers to ensure regular and periodic facility checks.
  • Manage and follow up on contracts with administrative and maintenance suppliers, ensuring service
    continuity and compliance.

Task Tracking & Follow-Up

  • Track pending tasks, action items, and commitments assigned by the CEO.
  • Follow up with relevant stakeholders to ensure timely completion.
  • Provide regular status updates and reports to the CEO on outstanding and completed actions.
    Reporting & Board Support
  • Prepare structured management reports, summaries, and executive dashboards for the CEO.
  • Prepare Board-ready presentations, executive summaries, and decision papers.
  • Consolidate inputs from department heads into CEO-level management reports and dashboards.

Desired Candidate Profile

Education: Bachelor s degree in business administration, Management, or a related field.

Experience: Minimum 5 7 years Proven experience in an executive assistant, office manager, or senior administrative role supporting top management or C-level executives.

Technical & Professional Skills

  • Strong proficiency in Microsoft Office (PowerPoint, Excel, Word).
  • Ability to consolidate data and translate information into clear reports and executive presentations.
  • Effective use of AI tools to enhance productivity, reporting, data organization, and presentation
    development.

Soft Skills

  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • High attention to detail and problem-solving capability.
  • Ability to work under pressure, manage multiple priorities, and meet tight deadlines.
