Job Description

Roles & Responsibilities

Executive Support:

  • Manage and maintain the CEO s calendar, appointments, and travel arrangements.
  • Prepare briefings, reports, and presentation materials for meetings.
  • Act as the first point of contact between the CEO and internal/external stakeholders.
  • Filter and prioritize incoming communications and requests.

Administrative Duties:

  • Handle correspondence, emails, and phone calls with professionalism and confidentiality.
  • Organize filing systems and maintain confidential records.
  • Coordinate logistics for meetings, events, and business trips.
  • Take meeting minutes and follow up on action items.

Project Coordination:

  • Support the CEO in managing key strategic projects and deadlines.
  • Conduct research and prepare summaries or proposals as required.
  • Liaise with department heads to facilitate cross-departmental communication.

Personal Assistance:

  • Provide personal support to the CEO, including scheduling personal appointments, travel, and errands.
  • Handle confidential and sensitive matters with the utmost discretion.

Desired Candidate Profile

Minimum of 1 year of experience as a personal assistant, executive assistant, or in a similar administrative support role.

  • Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
  • Strong written and verbal communication skills in both English and Arabic.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Excellent interpersonal skills and the ability to interact professionally with all levels of management and external partners.
  • Proactive, resourceful, and able to work independently with minimal supervision.
  • Strong attention to detail and accuracy in all tasks.
  • Flexibility to adapt to changing priorities and work demands.
  • Willingness to work onsite in a fast-paced office environment.
