Job Description
Roles & Responsibilities
- Controlling company and project documentation
- Following and improving document control procedures
- Ensuring all documentation meets formal requirements and required standards
- Sorting, storing and retrieving electronic and hard copy documents on behalf of clients and industry professionals
- Producing document progress reports for senior managers
- Conducting regular reviews and document audits
- Using computers to organize and distribute documents within a company
- Helping in the planning stages of a specific project
- Ensure documents are shared at key times to facilitate timely project completion
- Manage and organize all project documentation, ensuring that all documents are accurately named, stored, and easily retrievable to facilitate efficient project workflows.
- Coordinate with various stakeholders, including architects, engineers, and contractors, to ensure timely and accurate document submissions and approvals.
- Implement and maintain a robust document control system that tracks revisions, approvals, and distribution to enhance transparency and accountability.
- Assist in the preparation of project reports and submissions, ensuring that all documentation is complete, accurate, and submitted within established deadlines.
- Develop and maintain comprehensive logs of all project documents, including drawings, specifications, and correspondence, ensuring easy access and historical tracking.
- Prepare and distribute meeting minutes, action items, and project updates to ensure all team members are informed and aligned on project status.
- Conduct regular audits of project documents to ensure compliance with industry standards and contractual obligations, identifying any discrepancies that may arise.
- Facilitate training sessions for team members on document management protocols, fostering a culture of adherence to best practices in documentation.
Desired Candidate Profile
- Bachelor's degree in Construction Management, Civil Engineering, or a related field to provide a strong foundation in industry principles and practices.
- Minimum of 3 years of experience in document control within the construction industry, demonstrating a proven track record of effective document management.
- Certification in Document Control or Project Management (e.g., PMI, AACE) to validate expertise and commitment to professional development.
- Experience working on large-scale construction projects, enabling familiarity with complex documentation and stakeholder coordination.
- Preference for candidates from the GCC region, understanding regional construction standards and practices.
- Fluency in English is essential; proficiency in Arabic or other relevant languages is a significant advantage for effective communication.
- Proficient in document management software (e.g., Procore, Aconex) and Microsoft Office Suite to enhance productivity and streamline operations.
- Strong organizational skills and meticulous attention to detail, ensuring that all documents are managed with precision and clarity.
- Excellent communication skills, both written and verbal, to facilitate interactions with diverse teams and stakeholders.
- Ability to work under pressure and manage multiple tasks simultaneously, demonstrating resilience and adaptability in a dynamic environment.
