Roles & Responsibilities

Duties & Responsibilities:

  • Developing and drafting contracts related to O&M services, including defining contract scope, terms, conditions and assist in negotiations strategies with counterparties, oversee contract lifecycle including monitoring contract performance, tracking deliverables, and managing contract changes, amendments, and renewals are executed in a timely manner.
  • Monitoring compliance and ensure that all contract-related documentation, such as insurance certificates, performance bonds, and warranties, are properly maintained and up to date.
  • Continuously monitoring and evaluating contract performance by enforcing performance improvement measures such as key performance indicators (KPIs) and service level agreements (SLAs) along with identifying opportunities for improvement and monitor the work of contractors may involve conducting regular performance reviews, audits, and inspections. ensuring that they meet contractual obligations and performance standards.
  • Participate in budgeting and cost control activities related, including estimating costs, monitoring expenses, and identifying cost-saving opportunities while maintaining service quality.
  • Work closely with finance and procurement teams to ensure timely payment of invoices and resolve any billing or payment discrepancies.
  • Ensure ongoing compliance of procurement and contract-related activities with contractual obligations, applicable UAE laws, DoA, company regulations, guidelines and safety standards, this may involve conducting regular audits, reviewing contract documentation, and working with contractors to address any compliance issues or gaps.
  • Work closely with the procurement team to ensure that contracts are reviewed and approved in accordance with established governance, processes and procedures.
  • Continuously assessing and mitigating risks associated with contracts by identifying potential risks, monitoring risk indicators, and implementing risk mitigation strategies, This may involve conducting risk assessments, reviewing contract clauses for potential risks, and implementing risk mitigation measures, such as insurance coverage or contingency plans.
  • Prepare and maintain accurate and comprehensive documentation related to contracts, including contract files, reports, and correspondence.
  • Generate regular reports on contract performance, compliance and provide updates as required.
  • Collaborate with internal and external stakeholders, including operations, maintenance, legal, finance, and procurement and performance teams, as well as clients, vendors, and regulatory authorities, to ensure effective communication, coordination, and resolution of contract-related issues.
  • Identify opportunities for process improvement, contract standardization, and best practices in contract management, and implement appropriate measures to enhance efficiency, effectiveness, efficiency gains, and cost savings.
  • Implement appropriate measures to enhance performance and service quality while maintaining compliance with established governance.
  • Review and understand the warranty provisions in contracts related to O&M services to ensure compliance with the company's policies and procedures, as well as applicable laws and regulations.
  • Identify and assess any risks or limitations associated with warranties.
  • Establish a system for tracking warranties, including documenting warranty information such as start and end dates, coverage details, and requirements for warranty claims. Ensure that warranty information is properly communicated to relevant stakeholders, such as operations and maintenance teams.
  • Manage warranty claims related to O&M services, including coordinating with contractors or vendors to initiate and process warranty claims in a timely manner. This may involve gathering and organizing documentation, such as invoices, receipts, and repair reports, to support warranty claims.
  • Ensure that all warranty claims are submitted in accordance with the terms and conditions specified in the contracts, and that all required documentation and information are provided as per the warranty requirements.
  • Monitor and ensure compliance with any warranty claim procedures or processes outlined in the contracts.
  • Generate reports on warranty performance, including tracking warranty claims, resolution status, and trends. You will also provide regular updates to management and other stakeholders on warranty-related matters, including any issues, risks, or opportunities for improvement.
  • Work closely with vendors and contractors to ensure that they meet their warranty obligations, including providing necessary information and documentation to support warranty claims. Evaluate vendor performance in terms of warranty management and provide feedback or implement improvement measures as needed.
  • Provide the organization with greater flexibility to adapt to changes (Ex: LTSA Amendments) by bringing skills and knowledge to team evolved.
  • Assistance in RFP package preparation, Improve Tender Evaluation and Post tender activities.

Desired Candidate Profile

Qualifications & Experience:

  • Bachelor's degree in engineering, such as mechanical, electrical, or civil engineering. Master's degree in the same field is preferred.
  • MBA, advanced degree or other professional certificate (s) in contract Management or project management, or other related fields.
  • 5-7 years of experience in the O&M industry in GCC countries specifically in managing contracts, developing proposals, executing maintenance and repair projects.
  • Experience in project management and dealing with technical issues is preferred.
  • Substantial knowledge of warranty management, procurement, contract drafting & management, contractor monitor and evaluation techniques, budget, and financial controls.
  • Proficiency in using project management software and excellent computer skills MS Office 365 (Word, Excel, Power Point, SharePoint, etc).
  • Strong analytical and problem-solving skills, excellent communication and negotiation skills, and the ability to manage multiple contracts and projects simultaneously are essential.
  • Knowledge of contract law, regulations, and compliance requirements is required.
  • Fluent in spoken and written English.
