Roles & Responsibilities

POSITION VALUE:

The CSO is the first point of contact for customers and the key operator in preparing contracts, processing reservations, and ensuring excellent client service. This role handles all administrative tasks of bookings, payments, system input, and client communication.

DAILY RESPONSIBILITIES:

- Receive client inquiries (walk-in, phone, email, WhatsApp).

- Check fleet availability via WheelSyS system.

- Prepare new rental contracts in WheelSyS.

- Verify client documents (ID, driving license, passport, insurance).

- Explain rental terms, conditions, and insurance coverage to clients.

- Handle payments (cash, card, corporate account bookings).

- Open, update, and close rental contracts properly.

- Ensure client satisfaction during car delivery and return.

- Coordinate with Operation Manager for vehicle readiness and availability.

- Upload contract files and customer IDs to digital archives (Google Drive).

WEEKLY RESPONSIBILITIES:

- Review and submit weekly closed contracts to Accountant.

- Follow up on corporate account balances for upcoming bookings.

- Report any customer service issues to Branch Manager.

- Update CRM system with client notes and history.

MONTHLY RESPONSIBILITIES:

- Assist in preparing monthly sales reports for Branch Manager.

- Review corporate account receivables with Accountant for overdue balances.

- Participate in monthly customer service quality reviews.

SYSTEM USAGE:

- WHEELSYS (contract creation, fleet availability)

- CRM (client follow-up and notes)

- Google Drive (document storage)

- Sales IQ (lead tracking and conversion)

- ZOHO (limited financial review for balances)
