Job Description
Roles & Responsibilities
The Deputy Director of Administration supports the Director of Administration in overseeing administrative operations and ensuring the effective implementation of strategic plans across departments and units. This role focuses on coordinating internal efforts, managing administrative functions, and monitoring performance to ensure the achievement of management objectives. As a key operational leader, the Deputy Director of Administration fosters internal collaboration, monitors the progress of strategic initiatives, and supports stakeholder engagement while promoting alignment with the organization's mission and values .
The unit fosters a culture of excellence within the organization by implementing corporate standards, supporting innovation, and managing quality systems to achieve recognized accreditations. It develops and oversees initiatives to strengthen the corporate culture, manages the internal awards process, and coordinates improvement action plans in collaboration with relevant units. Through knowledge sharing, benchmarking, and supporting specialized award applications, the unit contributes to solidifying the organization's commitment to continuous improvement .
The unit also maintains and updates the organizational structure, job descriptions, and authority matrix in line with leadership directives and approved policies, ensuring the organization aligns with best practices and achieves operational efficiency .
Assisting in activating the strategic vision of the administration by coordinating initiatives across departments .
Monitoring the implementation of management projects, and ensuring alignment of timelines, resources, and priorities .
Supporting the department manager in assessing operational risks and preparing mitigation plans .
Track and report on resource utilization across units, and suggest improvements when needed .
Monitoring management performance indicators, identifying problems and suggesting corrective actions .
Supporting team capacity building through training coordination and development follow-up .
Maintaining strong internal communication between units and supporting stakeholder follow-up .
Identifying and facilitating opportunities for process improvement and knowledge sharing .
Helping to resolve internal conflicts and promote cohesive teamwork .
Strengthening commitment to organizational values through daily practices and team engagement .
Perform additional tasks and activities as assigned by management .
Public responsibilities
Performing responsibilities in accordance with academic qualifications, job specializations, and productivity requirements .
Ensuring continued compliance with all policies, procedures and instructions, as well as the organization's code of conduct .
Promoting teamwork, cooperation, and commitment in performing all tasks .
Ensuring the security and confidentiality of data and classifying it correctly in accordance with the organization's policies .
Ensuring that all relevant files, records, and documents are preserved and archived in accordance with institutional standards .
Supervising the implementation of institutional excellence standards in coordination with relevant organizational units .
Developing and implementing initiatives to promote corporate culture in line with best practices and standards .
The internal management of the award by the Authority and its periodic updating in accordance with best standards and practices .
Preparing and managing the improvement action plan and monitoring its implementation in coordination with the relevant units .
Developing an innovation management system within the organization, establishing implementation mechanisms, and measuring its institutional impact .
Supervising the development of knowledge exchange and benchmarking processes with entities relevant to the scope of the Authority’s work .
Implementing quality systems in accordance with the organization's specializations, obtaining the required accreditations, and ensuring their continuity .
Managing the process of preparing and updating the organizational structure of the Authority based on the directives of the senior leadership .
Preparing and updating the job descriptions and responsibilities manual for organizational units in accordance with the approved structure and relevant policies and regulations, and ensuring that it is updated periodically .
Managing and re-engineering corporate processes in accordance with the tasks and specializations of organizational units, with periodic review and updating .
Updating the matrix of powers for organizational units and aligning it with any new developments in systems, policies and organizational structure .
Conducting comprehensive assessments of the organization's maturity in areas such as operations, technology, digital transformation, innovation, and management .
Managing the organization's job descriptions, including preparing and updating job descriptions based on changes in the organizational structure and the role and responsibility guide .
Identifying areas that require improvement in terms of the level of institutional maturity .
Preparing detailed reports that illustrate the current level of organizational maturity and the key factors that require improvement and development .
Perform any other tasks or activities assigned by the leadership .
Technical competencies
Engaging stakeholders : Building effective partnerships with internal and/or external stakeholders to ensure clear communication, gather feedback, address challenges, and align efforts with the organization's goals and directions .
Requirements and qualifications
Academic qualifications : Bachelor's degree in a relevant field .
Professional experience: +15 years of experience with 8 years in a managerial role or other related specialization .
Language proficiency : Proficiency in both Arabic and English .
