JOB SUMMARY

Good information management is the foundation of this role. The Digital Knowledge and Platforms Analyst is responsible for the quality, organization, and governance of information across KEO's digital platforms - spanning Microsoft SharePoint Online, Autodesk Construction Cloud, Digital Asset Management systems, and other information repositories. The Analyst designs intuitive information architectures, enforces governance standards, eliminates content debt, and builds the conditions in which organizational knowledge can be captured, shared, and reused effectively. Working at the intersection of information management, knowledge management, and platform administration, the role ensures KEO's information environment is clean, governed, and genuinely useful - and structured to serve as a strong foundation for AI-assisted knowledge retrieval and intelligent automation.

KEY TASKS AND RESPONSIBILITIES

SharePoint Platform Administration & Governance

  • Design and continuously improve KEO's enterprise information architecture across all digital platforms - including SharePoint Online, Autodesk Construction Cloud (ACC), and Digital Asset Management (DAM) systems - ensuring content is logically structured, consistently classified, and easily discoverable.
  • Define and enforce governance standards across all repositories, covering naming conventions, metadata schemas, permission models, retention policies, and content lifecycle management, and conduct regular audits to identify and remediate redundant, outdated, and trivial (ROT) content.

Digital Asset Management

  • Administer KEO's DAM system, ensuring all digital assets - including images, project photography, marketing collateral, and branded content - are correctly ingested, tagged, classified, and accessible to authorized users under clear governance standards covering naming, metadata, rights management, and lifecycle policies.
  • Drive DAM adoption across marketing, communications, and project teams, improving asset discoverability and reducing duplication across the organization.

Knowledge Management & Content Strategy

  • Work with business units and functional leads to capture, organize, and publish knowledge assets - including lessons learned, SOPs, templates, and best practice guides - and maintain KEO's intranet content strategy, ensuring SharePoint pages and knowledge hubs are current, well-structured, and genuinely useful to a global workforce.

AI-Ready Information & Intelligent Knowledge Retrieval

  • Ensure KEO's information repositories are structured, governed, and tagged to a standard that supports AI-assisted knowledge retrieval - including Microsoft Copilot, Azure AI Search, and future AI-powered tools - working closely with the Data and AI Analyst to unlock document intelligence, semantic search, and knowledge synthesis use cases.
  • Proactively explore AI-powered information management capabilities - including auto-tagging, intelligent content recommendations, and AI-assisted lifecycle management - providing the Enterprise Digital Solutions Manager with evaluation insights and innovation recommendations.

Workflow Design & Process Automation

  • Identify and design information workflow automation opportunities using Power Automate, SharePoint workflows, and ACC workflow tools, supporting the deployment of automated content lifecycle processes - including review reminders, approval routing, and archiving - and documenting solutions with clear business cases.

Governance, Compliance & Audit Readiness

  • Ensure all information platforms comply with KEO's records management policies, information security requirements, and data protection obligations, maintain audit-ready documentation and work with the Cybersecurity and Digital Trust team to align platforms with access control governance and zero-trust principles.

Stakeholder Engagement & Training

  • Engage proactively with business units and project teams to translate information management needs into practical platform solutions, deliver training on SharePoint, ACC, and DAM best practices and act as the primary point of contact for information management queries across KEO's global workforce.

Desired Candidate Profile

Qualifications

  • 8-10+ years of experience in information management, knowledge management, SharePoint administration, or document control role within an enterprise or project-based environment.
  • Hands-on experience administering Microsoft SharePoint Online, including site architecture, permissions, metadata, content types, and governance.
  • Practical experience designing and implementing information architecture and taxonomy frameworks across multiple repositories or platforms.
  • Familiarity with Digital Asset Management (DAM) systems and digital asset governance principles.
  • Experience conducting content audits and driving ROT remediation programmes.
  • Familiarity with records management principles, information governance frameworks, and data protection requirements.
  • Experience delivering end-user training and driving platform adoption across a diverse, geographically distributed workforce.
  • Exposure to Microsoft Copilot, AI-assisted knowledge management, or intelligent search tools is advantageous.
  • Experience in the AEC (Architecture, Engineering, and Construction) or professional services sector is advantageous.
