Job Description
Roles & Responsibilities
Key Responsibilities
- Prepare, validate, and issue invoices for port calls and service deliveries in accordance with contract terms and client-specific templates.
- Cross-verify operational data, third-party vendor charges, and documentation to ensure billing accuracy.
- Track and manage invoice submissions and follow-up logs to ensure timely billing cycles.
- Liaise with operations, finance, and client teams to clarify discrepancies and ensure supporting documents are complete.
- Maintain updated billing trackers and ensure compliance with client-specific invoicing SOPs.
- Respond promptly to client queries or documentation requests related to invoicing, ensuring adherence to timelines and avoiding penalties associated with delays.
- Assist in reconciliations, credit notes, and resubmission processes as required.
Preferred Qualifications & Skills
3 5 years of experience in invoicing, billing, or finance operations preferably in maritime, logistics, or government contracting. Familiarity with Excel and financial documentation standards is essential. Strong attention to detail and commitment to data accuracy. Good verbal and written communication skills; able to draft professional emails to internal and external stakeholders. Ability to manage deadlines across multiple time zones and contracts. Prior experience with client billing portals, ERP systems, or documentation workflows is a plus.
