Job Description
Roles & Responsibilities
The Dispatch Officer/Bond Keeper is responsible for planning, coordinating, and monitoring the daily dispatch of LPG, oxygen, and alcoholic beverages. The role ensures efficient route planning, accurate documentation, proper inventory control, and strict adherence to safety and regulatory requirements, including Maldives Customs regulations for bonded warehouse operations. This position requires strong organizational skills, communication ability, and attention to detail to support smooth and compliant product movement.
Key Responsibilities
Dispatch & Operations
1. Plan, schedule, and dispatch LPG, oxygen, and alcoholic beverage deliveries efficiently and on time.
2. Prepare all dispatch documentation, including manual delivery notes and VFS/VPOS documents.
3. Maintain and update daily delivery summaries.
4. Track and record empty cylinders returned from customers.
5. Coordinate with vessel captains, drivers, the gas filling team, the sales team, and customers to ensure timely deliveries.
Bonded Warehouse & Inventory Management
6. Coordinate with Resorts and Maldives Customs for alcoholic beverage deliveries.
7. Attend receiving and verification of new alcoholic beverage shipments into the bonded warehouse.
8. Update bin cards and ensure accurate inventory recording for all bonded items.
9. Update and maintain the monthly inventory Excel file and report stock levels to management.
10. Participate in monthly and annual physical inventory counts.
11. Ensure full compliance with regulations governing the handling and transport of controlled alcohol products.
Documentation, Safety & Reporting
12. Maintain accurate logs of dispatched orders and staff overtime hours.
13. Report any safety incidents, delays, or delivery issues to management promptly.
14. Ensure high standards of safety awareness in all dispatch and warehouse activities.
Customer Service & Coordination
15. Serve as the primary communication point between the sales team, production team, delivery team, and customers.
16. Handle customer inquiries regarding delivery schedules, delays, changes, or issues.
17. Assist in resolving customer complaints professionally and efficiently.
18. Support warehouse and outdoor loading operations when needed.

Qualifications & Requirements
* Advanced Level or Diploma in Logistics, Supply Chain, or a related field (preferred).
* 12 years of experience in dispatch, logistics, or fleet coordination.
* Proficiency in dispatch software, route-planning tools, and Microsoft Office Suite.
* Strong organizational and communication skills with the ability to multitask.
* Ability to work under pressure in a fast-paced environment.
* Willingness to work flexible hours, including weekends or evenings when required.
