Job Description

Roles & Responsibilities

Maintain and update the Document Control System (DCS) for all engineering, construction, and project documents.

Ensure all documents follow the company s naming, numbering, and formatting conventions.

Receive, review, log, and distribute documents such as drawings, contracts, technical submissions, correspondences, and reports.

Manage and track the flow of documents between internal departments and external stakeholders (consultants, contractors, suppliers).

Ensure all received documents are checked for completeness and compliance before uploading or circulation.

Control revisions of documents and ensure only the latest versions are accessible.

Maintain both electronic and hard-copy archives for all documentation.

Ensure secure and systematic filing to allow easy retrieval.

Support the transition to digital archiving and document management systems.

Ensure all documentation complies with company procedures, ISO standards, and project requirements.

Prepare regular reports on document status, delays, and pending submissions.

Assist in audits related to documentation and compliance.

Liaise with project teams, engineering, procurement, and external stakeholders to ensure timely submission and approval of documents.

Follow up on overdue documents and pending approvals.

Provide support and training to teams regarding document control procedures.

Desired Candidate Profile

Bachelor s degree in Business Administration, Engineering, or a related field.

3 5 years of experience in document control, preferably in real estate development, construction, or engineering companies.

Strong knowledge of document control procedures and standards.

Proficiency in document management systems (DMS), MS Office, and PDF editing tools.

Excellent organizational skills and attention to detail.

Strong communication and coordination skills.

Ability to handle confidential documents with integrity.
