Job Description

Roles & Responsibilities

Supervise and coordinate the document control process for all project documentation, ensuring accuracy, consistency, and compliance with company and industry standards.

  • Establish and maintain document control systems, procedures, and workflows to support efficient document retrieval, storage, and archiving.
  • Monitor the distribution, tracking, and receipt of documents, ensuring timely delivery to relevant stakeholders and project teams.
  • Review and verify the completeness and correctness of incoming and outgoing documents, including contracts, drawings, specifications, and reports.
  • Train, mentor, and oversee document control staff to ensure adherence to best practices and continuous improvement.
  • Collaborate with project managers, engineers, and other departments to facilitate document flow and resolve any discrepancies or issues.
  • Prepare regular reports on document control activities, status updates, and compliance metrics for management review.
  • Ensure the security and confidentiality of sensitive documentation in both physical and electronic formats.
  • Support audits and inspections by providing accurate and up-to-date documentation as required.
  • Continuously evaluate and enhance document control processes to optimize efficiency and support organizational growth.

Desired Candidate Profile

Bachelor s degree in business administration, information management, engineering, or a related field.

  • 3 to 7 years of experience in document control, records management, or a similar administrative role, preferably within construction, engineering, or sports facility sectors.
  • Proven experience supervising or leading a document control team.
  • Strong knowledge of document management systems (DMS) and electronic document control tools.
  • Excellent organizational skills with a keen attention to detail and accuracy.
  • Ability to manage multiple priorities and meet tight deadlines in a fast-paced environment.
  • Strong communication and interpersonal skills for effective collaboration across departments.
  • Familiarity with industry standards and best practices in document control and records management.
  • Proficiency in Microsoft Office Suite and relevant document control software.
  • Commitment to maintaining confidentiality and data security at all times.
