Job Description
Roles & Responsibilities
- Manage and maintain all project documents, ensuring they are accurate, up-to-date, and easily accessible for team members.
- Implement and oversee a document control system that adheres to industry standards and project requirements, minimizing errors and delays.
- Coordinate with project teams to collect, review, and distribute documentation, ensuring compliance with quality assurance processes.
- Establish and enforce document management protocols, including version control, indexing, and archiving procedures.
- Facilitate the smooth flow of documentation between stakeholders, providing training and support as needed to ensure adherence to processes.
- Conduct regular audits of documentation practices to identify areas for improvement and ensure compliance with regulatory requirements.
- Create and maintain comprehensive records of document submissions, approvals, and revisions for accountability and traceability.
- Utilize document management software effectively to streamline processes and enhance collaboration among team members.
- Assist in the development of project-specific documentation templates and guidelines to ensure consistency and clarity.
- Act as the primary point of contact for document-related inquiries, providing timely and accurate information to stakeholders.
Desired Candidate Profile
- Bachelor's degree in Business Administration, Information Management, or a related field preferred.
- Minimum of 3 years of experience in document control or records management within engineering or construction industries.
- Familiarity with ISO standards and project management methodologies is highly valued.
- Proficiency in document management software (e.g., Aconex, SharePoint) and MS Office Suite is essential.
- Strong attention to detail with exceptional organizational and time management skills to handle multiple projects simultaneously.
- Excellent communication skills, both written and verbal, to effectively liaise with diverse teams and stakeholders.
- Ability to work independently and collaboratively within a team environment, promoting a positive work culture.
- Proactive problem-solving skills to identify issues and implement effective solutions in document management.
- Fluency in English is mandatory; knowledge of additional languages is a plus, especially in multinational environments.
- Cultural sensitivity and adaptability to work with diverse teams across various geographical locations.
