Job Description

Roles & Responsibilities

  • Manage and control the flow of project documents (electronic and hard copies) between departments, clients, and contractors.
  • Maintain an organized filing system (both digital and physical) ensuring easy retrieval and secure storage.
  • Ensure that all incoming and outgoing documents are reviewed, properly filed, and distributed to relevant parties.
  • Register and track documents, drawings, transmittals, correspondence, and reports using document control systems or software.
  • Prepare document templates and standardize formatting and numbering according to company or project guidelines.
  • Monitor document timelines to ensure submission deadlines are met and highlight delays to relevant teams.
  • Archive project documentation at project closeout in accordance with company procedures and audit requirements.
  • Coordinate with engineering, planning, and quality teams to ensure documentation is up to date and accurately reflects the latest revisions.
  • Support project audits and quality checks by providing the necessary documentation as required.

Desired Candidate Profile

  • Bachelor s degree or diploma in Business Administration, Engineering, or a related field.
  • 1 3 years of experience in a document control or administrative support role within a construction, engineering, or industrial environment.
  • Proficient in Microsoft Office (especially Word and Excel); experience with EDMS or DMS platforms is an advantage.
  • Excellent attention to detail and time management skills.
