Job Description
Roles & Responsibilities
- Establish and maintain an efficient document control system to ensure all project documentation is properly recorded and easily retrievable.
- Conduct regular audits of documentation to ensure compliance with established standards and project specifications.
- Collaborate closely with project teams to understand documentation needs and provide tailored support throughout the project lifecycle.
- Implement version control processes to track changes and maintain the integrity of documents during reviews and approvals.
- Facilitate the distribution of documents to relevant stakeholders while ensuring confidentiality and security protocols are upheld.
- Train team members on document management systems and procedures to enhance overall project efficiency.
- Generate and maintain accurate reports on document status, ensuring timely updates to stakeholders.
- Assist in the preparation of project documentation for submissions, ensuring compliance with client and regulatory requirements.
- Coordinate with external parties to manage the receipt and distribution of documents, including contracts and technical specifications.
- Support project close-out processes by compiling and archiving all relevant documentation for future reference.
Desired Candidate Profile
- Bachelor's degree in Business Administration, Information Management, or a related field is preferred.
- A minimum of 3 years of experience in document control within construction, engineering, or similar industries is essential.
- Proficiency in document management software such as Aconex, SharePoint, or similar platforms is required.
- Fluency in English is mandatory, with additional language skills being a plus, especially in Arabic or Spanish.
- Strong attention to detail and organizational skills are crucial for managing large volumes of documentation effectively.
- Ability to work under pressure and meet tight deadlines while maintaining high-quality standards.
- Exceptional communication skills to liaise with diverse teams and stakeholders across various levels.
- A proactive mindset with problem-solving capabilities to address document-related challenges promptly.
- Cultural awareness and adaptability to work in a multinational environment, valuing diversity and inclusion.
