Job Description

The Document Controller plays a crucial role in managing, organizing, and maintaining various documents within an organization. This position is essential for ensuring that documentation is properly stored, easily accessible, and systematically managed as per the company's standards and compliance regulations. Typically employed in sectors such as construction, engineering, or government agencies, a Document Controller has the responsibility of handling large volumes of both electronic and hard copy documents. They are integral to the processes of document control and management, ensuring that information is swiftly retrieved and that document workflows are optimized. This role requires a keen attention to detail, strong organizational skills, and proficiency in document management software. The Document Controller also collaborates with various team members to guarantee that everyone has the latest information needed to execute tasks efficiently and accurately.


Responsibilities
  • Implement and maintain document control processes and procedures for efficient workflow.
  • Ensure all documents are up to date, correctly indexed, and stored securely.
  • Coordinate the distribution of documents to relevant stakeholders as necessary.
  • Manage the retrieval of documents in a timely manner to support various operations.
  • Facilitate training sessions for staff on document control procedures and systems.
  • Develop, update, and maintain document templates and disparate records.
  • Monitor document circulation and usage to ensure compliance with company policies.
  • Assist in the preparation and submission of document-related reports to management.
  • Conduct regular audits to ensure compliance with document control standards.
  • Establish effective communication channels for reporting document-related issues.
  • Support project teams in their documentation needs and requirements.
  • Work with IT to resolve technical issues related to document management software.

Requirements
  • Bachelor's degree in Business Administration, Information Management, or related field.
  • Proven experience in document control, preferably in a similar industry sector.
  • Strong understanding of document management software systems and tools.
  • Excellent organizational and multitasking skills, with an eye for detail.
  • Ability to communicate clearly and effectively, both verbally and in writing.
  • Familiarity with compliance standards and regulations in document management.
  • Proficiency in Microsoft Office Suite and other document management software.
