Job Description

Roles & Responsibilities

This is a site-based position that requires full-time presence on project location(s), working closely with multidisciplinary project teams to ensure effective document control and smooth communication flow.

Responsibilities

  • Establish and manage project-specific Document Management Systems (DMS) in accordance with client and project requirements.
  • Develop, document, and communicate the document control plan to project stakeholders.
  • Ensure full compliance with document control standards and governance.
  • Support team members by guiding them through document control procedures and best practices.
  • Train users and provide ongoing support for Electronic Document Management Systems (EDMS).
  • Ensure consistent document formatting, numbering, revision control, and workflow tracking.
  • Coordinate document distribution, reviews, and approvals internally and externally.
  • Maintain up-to-date document registers and ensure traceability through electronic audit trails.
  • Monitor contractor, vendor, and supplier documentation and maintain accurate records.
  • Prepare regular reports on documentation status and project deliverables.
  • Support project closeout by preparing high-quality handover documentation.
  • Manage drawing issuance and assist with quality audits and compliance checks.
  • Uphold document integrity and version control under tight timelines and shifting priorities.

Desired Candidate Profile

Minimum 2 years of experience in a Document Control role within the Engineering, Construction, or Infrastructure sectors.

Strong command of English (written and verbal) is essential.

Solid understanding of project and document control principles and systems.

Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).

Prior exposure to EDMS platforms (e.g. Aconex, ProjectWise, Key360, etc.) is highly desirable.

Willingness and ability to work on-site full time, based at the project location

Degree in Business Administration, Project Management, or related field.

Previous experience in administrative, data entry, or document coordination roles.

Knowledge of document control practices in large-scale infrastructure or engineering consultancy environments.
