Job Description

Roles & Responsibilities

Responsible for the receipt, dispatch, and circulation of official company documents and reports; coordinates classification, filing, and borrowing registration of both paper and electronic archives; strictly complies with confidentiality regulations to ensure standardized and secure archive management.

Oversees the procedural declaration for seal engraving and destruction; manages daily storage and usage registration of seals; supervises the entire seal usage process to ensure compliance and proper handling.

Implements archival and seal management standards rigorously; conducts regular inventory checks and status verifications of archives and seals; maintains and improves management ledgers to ensure data accuracy and traceability.

Manages the establishment and standardized storage of employee personnel files; concurrently handles fixed asset archiving and accurately executes asset depreciation accounting and recording.

Assists in updating and maintaining company website content to ensure timely and accurate information dissemination.

Fulfill additional tasks as assigned by leaders.

Desired Candidate Profile

A minimum of 2 years of relevant professional work experience is required.

A bachelor's degree or higher is required, with preference given to candidates majoring in administrative management, secretarial studies, archival science, and related disciplines.

Familiarity with archival management standards (including filing and record-keeping procedures) and regulations concerning the use of official seals is essential.

Practical experience in managing official documents and overseeing confidentiality protocols is necessary.

Bilingual proficiency in both Chinese and English is preferred but not mandatory.

Strong computer literacy, including proficiency in operating systems and commonly used office software.

Keen attention to detail and a commitment to accuracy are essential attributes.
