Job Description
Roles & Responsibilities
- Manage, organize, and maintain all project documentation, drawings, contracts, and correspondence.
- Ensure document accuracy, version control, and timely distribution to relevant departments.
- Maintain an efficient filing system (electronic and hard copy) for project and finance records.
- Prepare and submit payment applications, invoices, and supporting documentation to clients.
- Track and update the status of client payments and follow up as required.
- Assist the finance team in preparing cost summaries, project financial reports, and payment certificates.
- Ensure all financial documents are properly archived and auditable.
- Coordinate with project teams to gather site progress updates and relevant supporting documents.
- Conduct occasional site visits to verify documentation accuracy and project progress.
- Liaise with clients and consultants to provide documentation, clarify payment details, and ensure compliance with submission requirements.
- Support the Project Manager in maintaining project timelines by providing up-to-date documentation and reports. Ensure adherence to company document control procedures and project standards.
- Prepare periodic reports on document control and financial documentation status.
- Maintain confidentiality and integrity of all financial and project information.
- Manage the process of invoice clearance.
- Liaised with consultants to secure pre-contract approvals.
- Oversaw the completion and approval of contracts.
Desired Candidate Profile
- Minimum 4 years of experience in document control or finance administration, preferably within the fit-out and joinery industry.
- Strong understanding of payment applications, invoicing, and project documentation workflows.
- Proficiency in MS Office (Excel, Word, Outlook) and basic accounting software.
- Excellent organizational skills with attention to detail and accuracy.
- Strong communication and coordination abilities, including client-facing interaction.
- Ability to multitask and meet deadlines under minimal supervision
