Roles & Responsibilities

Responsibilities
  • Diary management effectively organise EPC Director s diary, ensuring that day runs smoothly (to plan) and EPC Director is made aware of the schedule. Organisation of travel, accommodation (cost management of) appointments and meetings.
  • Mail (post and e-mail) vet, delegate and reply if necessary, on EPC Director s behalf. Manage in entirety in his absence. Also highlight issues to EPC Director if necessary
  • Run brought forward system chase up instructions given by the EPC Director and make sure actions are completed
  • Secretarial service typing of letters, minute taking on technical or commercial subjects, and vetting of telephone calls. Quality rather than quantity service. Funnel anything that does not require personal contact from the EPC director to ensure that the EPC Director only focuses on what is required.
  • Manage the office reception of visitors, room allocation, post, invoices, lunches etc
  • Customer liaison build up relationships with the customers at all levels and become a reliable point of contact for them instead of them going direct to the EPC Director all the time.
  • Translation and interpreting all documents, meetings, etc. from English/French to Arabic and vice versa.
  • Provide administrative assistance to EPC team as required

Desired Candidate Profile

Required skills

  • Ideally degree level or equivalent professional experience
  • RSA in shorthand and typing
  • Fluency in English Language
  • Verbal and inwriting Translation from Arabic to English and Vice Versa
  • Expert proficiency with Microsoft Office
  • Strong verbal and written communication skills.
  • Exceptional organizational skills and impeccable attention to detail.
  • Make appropriate, informed decisions regarding priorities and available time.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • High degree of professionalism in dealing with diverse groups of people, including senior executives, staff, Clients, and partners.
  • Able to maintain a high level of integrity and discretion in handling confidential information

Required experience

Minimum of 5 years experience providing a PA service to a senior executive
