Job Description

Roles & Responsibilities

1. Estimation & Tendering

  • Prepare accurate cost estimates for equipment rental proposals, long-term projects, and framework agreements.
  • Analyze tender documents, technical specifications, and scope of work to determine resource, equipment, and manpower requirements.
  • Coordinate with operations, maintenance, logistics, and procurement teams to gather cost inputs.
  • Develop pricing strategies to enhance competitiveness and profitability.
  • Prepare and submit technical and commercial proposals within deadlines.
  • Conduct site visits to assess project conditions when required.

2. Contract Management

  • Review, negotiate, and finalize rental agreements, service-level contracts, and commercial terms with clients.
  • Ensure compliance with legal, financial, and operational requirements in all contracts.
  • Maintain and update contract records, amendments, renewals, and variations.
  • Monitor contract performance and ensure deliverables align with agreed terms.
  • Address contractual issues, claims, and disputes in coordination with legal and management teams.

3. Cost Control & Financial Analysis

  • Evaluate cost structures, profitability, and market rates for equipment rental.
  • Track project budgets, revenue forecasts, and gross margins.
  • Recommend adjustments to pricing models based on fuel prices, labor costs, equipment depreciation, and market trends.

4. Client Coordination & Relationship Management

  • Serve as the primary contact for clients related to estimation, proposals, and contracts.
  • Manage customer inquiries, clarifications, and negotiations effectively.
  • Build strong relationships with key clients, consultants, and contractors.

5. Operational Support

  • Coordinate with operations to ensure equipment availability, readiness, and mobilization as per contract requirements.
  • Engage with maintenance teams to understand equipment conditions, repair costs, and replacement planning.
  • Support planning and scheduling of fleet allocation for major projects.

6. Reporting & Documentation

  • Prepare weekly/monthly reports on tenders, awarded projects, contract status, and pricing trends.
  • Maintain a database of cost information, rental rates, and historical estimates.
  • Contribute to continuous process improvement and policy development for the estimation and contract function.

Desired Candidate Profile

  • Bachelor’s degree in Engineering, Business Administration, Quantity Surveying, or relevant field.
  • 5–10+ years experience in estimation, tendering, or contract management within heavy equipment rental, construction, or related industry.
  • Strong understanding of construction equipment, fleet utilization, operational costs, and rental contracts.
  • Excellent negotiation, analytical, and communication skills.
  • Proficiency in MS Office, ERP systems, and estimation software.
  • Knowledge of local regulations and contract standards
