Roles & Responsibilities
Position: Executive Assistant & Client Coordinator
Reports to: Chairman (You)
Location: Cairo / Remote hybrid (depending on your preference)
Type: Full-time (with possibility of commission per successful client approach)
Summary:
We are looking for a highly organized and proactive Executive Assistant who can handle client cold calls, prepare professional reports and minutes of meetings, support accounting basics, and coordinate with both internal teams and external clients. The ideal candidate is smart, tech-savvy (Excel, PowerPoint, AI tools), and able to multitask between administrative duties and client-facing communication.
Desired Candidate Profile
Key Responsibilities
Client Interaction & Business Development Support
Conduct cold calls to prospective clients and introduce company services.
Assist in lead generation and follow-ups with potential customers.
Record client inquiries, maintain CRM/Excel sheets of prospects.
Support in preparing proposals and presentations.
Executive Assistance
Organize the Chairman s calendar, schedule meetings, and manage reminders.
Prepare agendas, notes, and follow-up action items for internal and client meetings.
Draft and edit emails, official documents, and reports.
Reporting & Documentation
Prepare professional reports in Word, Excel, and PowerPoint.
Record Minutes of Meeting (M.O.M.) and distribute to relevant parties.
Maintain accurate filing systems (digital and physical).
Accounting & Coordination
Assist in simple accounting entries, expense tracking, and invoice follow-up.
Liaise with finance or external accountants when needed.
Technology & AI
Use AI tools (ChatGPT, Gemini, etc.) to prepare summaries, reports, and creative drafts.
Support in digital tasks (data entry, research, formatting presentations).

QualificationsBachelor s degree in Business, Administration, or related field.
1 3 years experience as an Executive Assistant, Office Manager, or similar role.
Strong communication skills (Arabic & English, spoken and written).
Proficiency in MS Office (Excel, PowerPoint, Word).
Familiarity with AI tools for drafting and research.
Basic accounting knowledge is a plus.
Smart, proactive, detail-oriented, and discreet.
Professional appearance and confident presentation skills.
