Roles & Responsibilities

Executive Assistant


Main tasks:

  • Assist the project manager in order to optimize the management of their activity (schedule management, travel arrangements, communication, meeting preparation, reception,

Duties (tasks and responsibilities):

  • Organize and coordinate internal and external information, sometimes confidential, related to the functioning of the structure.
  • Take charge of the complete follow-up of files (equipment maintenance contracts, follow-up of customer reminders, administrative management of personnel) or specific events (organization of seminars, trade shows, etc.) .
  • Verification of all files and documents before signature by the director
  • Correction of written documents and correspondence, including outgoing letters and reports.
  • Organizing meetings and events related to the project
  • Organization of work by priority
  • Ensure the smooth running of the secretariat and the application of management procedures and monitoring of important project files
  • Drafting correspondence, memos, decisions, proofreading reports and other secretarial documents
  • To manage the organization of the various relationships that the project manager maintains with its structures, the company's departments, and external organizations.
  • Drafting service notes based on verbal or written instructions, and distributing them after signature by the Division Director,
  • Prepare and organize the various meetings planned by Management: send out invitations, prepare files or documentation,
  • Perform any mission or task related to his/her job and in line with his/her skills and abilities within the organized framework, and not expressly described in this job description.
