Roles & Responsibilities

Agenda management and time organization:

  • Plan, manage and optimize the General Manager's schedule (appointments, meetings, trips).
  • Organize national and international travel (plane tickets, hotels, visas, transfers).
  • Prepare meetings (invitations, room reservations, equipment).
  • Ensure the filtration and prioritization of requests (telephone, emails).

Communication and internal/external relations:

  • Provide high-level physical and telephone reception.
  • Write, format and distribute routine correspondence (letters, emails, memos).
  • Centralize and disseminate information internally.
  • Serve as a privileged contact for internal and external partners.
  • Manage basic communication in English (or other language if necessary).

Support for administrative and secretarial management

  • Prepare files and materials for meetings (PowerPoint presentations, Excel documents, reports).
  • Write and format meeting reports, minutes and decisions.
  • Ensure the management and electronic and physical classification of sensitive documents.
  • Manage incoming and outgoing mail.

Event and project management:

  • Organize and coordinate events (seminars, conferences, Board of Directors meetings).
  • Participate in cross-functional projects by providing logistical and administrative support.
  • Ensure the follow-up of files and actions entrusted by Management.

Desired Candidate Profile

Training: Bac +2/3 minimum in executive secretarial work, managerial assistant, or equivalent (BTS Support l Action Manag riale, Bachelor Assistant de Direction).

Experience: Minimum 5 years of successful experience in a similar executive assistant position, ideally within a management committee.

Technical Skills (Know-how):

  • Excellent writing, written and oral communication skills (impeccable spelling).
  • My experience with videoconferencing tools (Teams, Zoom).
  • Knowledge of shared planning management software is a plus.
  • Language: Fluent English (minimum B2 level) essential. Another language is an asset.
