Job Description

Roles & Responsibilities

1. Executive Support

  • Manage and maintain the Chairman s calendar, appointments, meetings, and travel arrangements.
  • Coordinate and prioritize daily activities to ensure optimal time management.
  • Prepare meeting agendas, presentations, reports, and other documents as required.
  • Handle confidential information with utmost discretion and professionalism.
  • Screen and manage correspondence (emails, calls, mail), responding or redirecting as appropriate.
  • Ensure the Chairman is well-prepared for all meetings, briefings, and events.

2. Communication & Liaison

  • Draft, review, and edit correspondence, memos, and communications.
  • Coordinate with senior management, board members, government agencies, clients, and partners.
  • Represent the Chairman s office with professionalism and diplomacy at all times.

3. Meeting & Event Coordination

  • Plan and organize board meetings, executive sessions, and corporate events.
  • Record, distribute, and track meeting minutes and follow-up actions.
  • Oversee logistics for business trips, conferences, and official functions.

4. Strategic & Project Support

  • Support the Chairman in strategic initiatives and special projects.
  • Conduct research, compile data, and prepare analytical reports as requested.
  • Monitor progress on key projects and ensure timely completion of deliverables.

5. Office Management & Administration

  • Oversee office operations and ensure smooth coordination with administrative teams.
  • Manage budgets, invoices, and expense reports related to the Chairman s office.
  • Maintain filing systems and ensure proper documentation of key records.

Desired Candidate Profile

1- Bachelor s degree in Business Administration, Management, Communications, or related field (Master s preferred).

2- 5 10 years of executive-level administrative experience, preferably supporting executives or a Board Chairman.

3-Exceptional organizational and time-management skills.

4-Excellent written and verbal communication abilities.

5-High level of discretion, integrity, and confidentiality.

6-Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Teams, Zoom, Google Workspace).

7-Ability to work under pressure and manage multiple priorities.
