Job Description

Roles & Responsibilities

Provide full administrative support to executives, including calendar management, scheduling, and coordination of meetings across multiple time zones

  • Manage executive correspondence, emails, and communications with professionalism and discretion
  • Prepare comprehensive reports, presentations, and meeting minutes for executive-level meetings and board discussions
  • Coordinate internal and external communications on behalf of senior leadership, ensuring clarity and consistency in messaging
  • Organize and execute special projects and initiatives as assigned by executive leadership
  • Serve as a liaison between executives and internal/external stakeholders, managing relationships with diplomacy and tact
  • Anticipate executive needs and proactively address challenges before they escalate
  • Manage travel arrangements, expense reports, and logistical coordination for executives
  • Maintain organized filing systems, databases, and documentation for easy retrieval and reference
  • Support strategic planning and goal-setting initiatives through research, analysis, and documentation

Desired Candidate Profile

1-3 years of prior experience in administrative, secretarial, or executive support roles

  • Advanced proficiency in Microsoft Office Suite, particularly Excel and PowerPoint
  • Exceptional written and verbal communication skills in English
  • Demonstrated expertise in calendar management, scheduling, and meeting coordination
  • Strong time management and prioritization abilities with capacity to handle multiple competing priorities
  • Proven ability to maintain confidentiality and exercise sound judgment in sensitive situations
  • Excellent organizational and attention-to-detail skills
  • Proficiency in preparing professional reports, presentations, and meeting documentation
  • Strong interpersonal and stakeholder management skills
  • Demonstrated problem-solving ability and initiative-taking mindset
  • Ability to work independently and as part of a collaborative team
  • Professional demeanor, reliability, and resilience in a fast-paced environment
  • Experience with travel coordination and expense management (preferred)
