Job Description
Roles & Responsibilities
Provide full administrative support to executives, including calendar management, scheduling, and coordination of meetings across multiple time zones
- Manage executive correspondence, emails, and communications with professionalism and discretion
- Prepare comprehensive reports, presentations, and meeting minutes for executive-level meetings and board discussions
- Coordinate internal and external communications on behalf of senior leadership, ensuring clarity and consistency in messaging
- Organize and execute special projects and initiatives as assigned by executive leadership
- Serve as a liaison between executives and internal/external stakeholders, managing relationships with diplomacy and tact
- Anticipate executive needs and proactively address challenges before they escalate
- Manage travel arrangements, expense reports, and logistical coordination for executives
- Maintain organized filing systems, databases, and documentation for easy retrieval and reference
- Support strategic planning and goal-setting initiatives through research, analysis, and documentation
Desired Candidate Profile
1-3 years of prior experience in administrative, secretarial, or executive support roles
- Advanced proficiency in Microsoft Office Suite, particularly Excel and PowerPoint
- Exceptional written and verbal communication skills in English
- Demonstrated expertise in calendar management, scheduling, and meeting coordination
- Strong time management and prioritization abilities with capacity to handle multiple competing priorities
- Proven ability to maintain confidentiality and exercise sound judgment in sensitive situations
- Excellent organizational and attention-to-detail skills
- Proficiency in preparing professional reports, presentations, and meeting documentation
- Strong interpersonal and stakeholder management skills
- Demonstrated problem-solving ability and initiative-taking mindset
- Ability to work independently and as part of a collaborative team
- Professional demeanor, reliability, and resilience in a fast-paced environment
- Experience with travel coordination and expense management (preferred)
