Job Description

Roles & Responsibilities

Your role as an Office Manager & Executive Assistant encompasses, but is not confined to:

- Supervising day-to-day office operations and ensuring efficient task completion

- Managing client bookings and coordinating appointments with psychologists

- Maintaining and updating financial records and payment logs

- Welcoming and assisting clients in-person and through various communication channels

- Handling administrative document organization and client form distribution

- Assisting the center s manager in operational decisions and communications

- Contributing to the organization and management of internal documentation, templates, and records

- Upholding the expected standards of confidentiality and professionalism in a psychological services setting

Desired Candidate Profile

Education & Experience
- Bachelor s degree in Business Administration, Communications, or a related field (preferred).
- 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior-level executives.
- Experience in a fast-paced corporate or executive environment is highly desirable.

Technical Skills
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
- Strong familiarity with scheduling and calendar management platforms (e.g., Outlook, Google Calendar).
- Experience with virtual communication tools (e.g., Zoom, MS Teams, Slack).
- Ability to manage spreadsheets, databases, and presentation materials.

Organizational & Administrative Skills
- Excellent time management and organizational skills with the ability to multitask and prioritize effectively.
- Strong attention to detail and accuracy in all tasks.
- Proven ability to manage complex calendars, schedule meetings, and coordinate travel arrangements.
- Experience handling confidential information with discretion and professionalism.

Communication & Interpersonal Skills
- Exceptional written and verbal communication skills.
- Professional demeanor with strong interpersonal and relationship-building abilities.
- Ability to interact confidently with internal and external stakeholders at all levels.

Problem-Solving & Adaptability
- Proactive and resourceful with strong problem-solving skills.
- Ability to work independently and anticipate executive needs.
- Comfortable working under pressure and meeting tight deadlines.

Other Requirements
- Availability to occasionally work outside normal business hours.
- Reliable and punctual with a commitment to supporting executive productivity.
- Strong sense of discretion, integrity, and confidentiality.
