Roles & Responsibilities

Job Responsibilities

  • Manage the Executive Director’s calendar, appointments, and meeting schedules.
  • Prepare agendas, briefing materials, presentations, and reports for executive meetings.
  • Draft, review, and proofread correspondence, emails, and official documents.
  • Coordinate travel arrangements, accommodation, and related logistics.
  • Maintain confidential files, records, and documentation securely.
  • Schedule and coordinate meetings with internal departments and external stakeholders.
  • Attend meetings when required, record minutes, and follow up on action items.
  • Act as a liaison between the Executive Director and internal/external parties, ensuring timely communication and information flow.
  • Track projects and follow up on tasks assigned by the Executive Director.
  • Support cross-department initiatives and special projects.
  • Assist in planning and executing strategic and operational initiatives.
  • Coordinate logistics for corporate events, executive workshops, and management meetings.

Requirements
Bachelor’s degree, preferably in Finance or a related field.
3–5 years of experience as an Executive Assistant or in a similar role supporting senior leadership.
Native Arabic speaker with excellent written and verbal communication skills in English.
Strong organizational, multitasking, and time management skills.
High level of discretion, integrity, and professionalism in handling confidential information.
Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
Ability to work proactively, prioritize tasks, and meet deadlines.
Strong interpersonal skills with the ability to liaise effectively with senior management and external stakeholders.
Solid knowledge of executive calendar management, business correspondence, meeting coordination, minute-taking, presentation preparation, and project tracking.
