Profile and experience

Formation : Licence (Bac+3/Bac+4) minimum

Proven experience in executive assistance

Expertise

  • Mastery of the French language (spoken, read, written) is essential
  • Very good command of office software (Microsoft Office suite)
  • Drafting and formatting administrative documents
  • Demonstrate a strong sense of organization and respect for procedures.
  • Transmit reliable information
  • Working in a network
  • Knowledge of Moroccan labor law is highly desirable
  • Good command of HR procedures

Missions

Administrative and document management:

  • Drafting and monitoring administrative correspondence, ensuring its compliance and effectiveness.
  • Manage the Directorate's agenda by planning and organizing appointments and meetings in an optimal manner.
  • Keep up-to-date records of document sending and receiving for rigorous tracking.
  • Ensure the monitoring of contracts and agreements with partners and service providers.
  • Process, track and transmit administrative documents accurately and within the given deadlines.
  • Organize the filing and archiving of documents to facilitate quick and efficient access to information. Provide support to the accounting and finance team as needed.

Logistics and organizational management:

  • Identify the needs for administrative and other supplies, place orders and ensure their receipt.
  • Plan and organize the movement of staff and stakeholders, ensuring administrative and operational logistics are in place.
  • Plan, organize and coordinate meetings, training sessions and receptions, ensuring their smooth running.
  • To ensure a smooth flow of information between different departments and to contribute to the coordination of interdepartmental activities.
  • Participate in the implementation of the Institute's activities, by supporting the organization of events and managing logistical aspects.
