Job Description
Roles & Responsibilities
Key Responsibilities:
Administrative Support
Manage and maintain the General Manager s calendar, appointments, meetings, and travel arrangements.
Prepare correspondence, reports, and presentations as requested.
Handle incoming and outgoing communication, emails, and phone calls professionally.
Ensure the GM s office operates efficiently and maintains confidentiality in all matters.
Communication & Coordination
Act as the primary point of contact between the GM and internal/external stakeholders.
Coordinate and follow up on decisions and action items from meetings.
Draft, edit, and proofread business correspondence and official documents.
Prepare meeting agendas, minutes, and distribute them promptly.
Office Management
Maintain organized filing systems (physical and electronic).
Oversee the preparation of documents and reports required by the GM.
Coordinate with other departments to ensure smooth information flow.
Handle confidential documents with discretion.
Event & Travel Management
Organize business trips, hotel reservations, visas, and transportation.
Arrange logistics for meetings, conferences, and events.
Prepare expense reports and handle reimbursements.
Professional Representation
Represent the GM in communications and meetings when delegated.
Maintain a professional image consistent with executive office standards.
Build positive relationships with clients, partners, and stakeholders.
Desired Candidate Profile
Job Purpose:
To provide high-level administrative and secretarial support to the General Manager, ensuring efficient
management of schedules, meetings, communications, and documentation while maintaining the highest
degree of professionalism, confidentiality, and organizational efficiency.
Education & Experience
Bachelor s degree in Business Administration, Management, or a related field.
Minimum 5 years of experience as an executive secretary or personal assistant to top management.
Previous experience in corporate or multinational environments is preferred.
Technical Skills
Excellent command of Microsoft Office (Word, Excel, PowerPoint, Outlook).
Strong written and verbal communication skills in English (Arabic/French is a plus).
Ability to prepare high-quality reports and presentations.

Excellent organizational and multitasking abilities.
Strong time management and prioritization skills.
Professional appearance and demeanor.
