Roles & Responsibilities

EXECUTIVE SECRETARY

  • Manage the executive's calendar, schedule appointments, and coordinate meetings with precision, ensuring optimal time management and efficient workflow.
  • Handle confidential information with utmost discretion, maintaining a high level of professionalism in all communications and interactions.
  • Prepare and manage HR-related documentation, including employee records, onboarding materials, and performance reviews, ensuring compliance with company policies.
  • Oversee administrative tasks such as travel arrangements, expense reports, and office supplies, ensuring smooth operational efficiency.
  • Provide sales support by preparing sales presentations, proposals, and reports, contributing to the achievement of sales targets.
  • Assist in recruitment processes, including screening resumes, conducting initial interviews, and coordinating interviews with hiring managers.
  • Manage and maintain the company's social media presence, creating engaging content and interacting with followers to promote brand awareness.
  • Coordinate and execute internal and external events, ensuring seamless logistics and successful outcomes.

Job Summary:

The Executive Secretary provides high-level administrative support to executives by handling information requests, preparing reports, scheduling meetings, coordinating travel, and performing clerical functions such as preparing correspondence, receiving visitors, and organizing documents. Key Responsibilities:

  • Manage and maintain executives' schedules, appointments, and travel arrangements.

  • File and retrieve documents and reference materials.
  • Conduct research, compile data, and prepare papers for consideration and presentation.
  • Monitor, respond to, and distribute incoming communications.

The HR & Admin Officer is responsible for supporting the organization’s human resources and administrative functions. This includes recruitment, onboarding, payroll support, employee relations, office management, facility coordination, and general administrative support. The role ensures efficient operations and a positive working environment.

Key Responsibilities:

· Human Resources Duties:

· Assist with end-to-end recruitment process including job posting, screening, interviewing, and onboarding.

· Maintain and update employee records (digital and physical).

· Support payroll processing and maintain attendance/leave records.

· Coordinate training and development programs.

· Assist with performance management and employee evaluation processes.

· Handle employee grievances and support disciplinary procedures.

· Ensure compliance with labor laws and HR policies.

· Draft HR letters (e.g., offer letters, employment contracts, experience letters).

· Administrative Duties:

· Manage office supplies, equipment, and maintenance.

· Ensure a clean, safe, and efficient working environment.

· Oversee facility and asset management, including vendor coordination.

· Organize internal events, meetings, and travel arrangements.

Qualifications:

SALES EXECUTIVE

Job Summary:

We are seeking a dynamic and results-driven Sales Executive to lead the sales operations for our lubricants division in the UAE. The ideal candidate will have extensive experience in B2B/B2C lubricants sales, excellent market knowledge, and a proven track record of achieving revenue targets. You will be responsible for developing and executing strategies to grow our market share, managing key accounts, and leading a high-performing sales team.

Key Responsibilities:

  • Develop and implement sales strategies to achieve revenue and profitability targets.
  • Identify and acquire new business opportunities across industrial, automotive, and marine sectors.
  • Maintain strong relationships with existing clients and channel partners.
  • Monitor market trends, competitor activities, and pricing strategies.
  • Prepare and deliver sales forecasts, budgets, and performance reports.

  • UAE driving license is a must.
  • Proficiency in English (Arabic is an advantage).
