Job Description

Roles & Responsibilities

  • Executive Secretary

  • Take into account and communicate its hierarchy any risks that may jeopardise the exercise of its activity, and implement appropriate actions in accordance with the guidelines.
  • Receive and dispatch written information (mail, messaging, telephone) on arrival and departure.
  • Manage the director's schedule.
  • Welcome, inform and guide visitors and staff.
  • Prepare the drafting of letters and minutes of meetings and issue invitations.
  • Enter, format and reproduce documents (mail, reports, publications, presentation materials).
  • Write notes or correspondence based on oral or handwritten instructions.
  • Organize the logistics of meetings.
  • Gather information and documents for the constitution of files.
  • File and archive documents.
  • Disseminate internal and external information in relation to the functioning of the structure.
  • Apply HSE measures and instructions.
  • General training: TS.
  • Vocational training: secretarial training, Excel, Word, Power Point.
  • Professional experience: 2 years.
