Job Description

Roles & Responsibilities

Provide high-level administrative support to executive management, including scheduling meetings, managing calendars, and coordinating travel arrangements.

  • Prepare, review, and edit correspondence, reports, presentations, and other documents for accuracy and professionalism.
  • Organize and maintain confidential files, records, and documentation, ensuring easy retrieval and compliance with company policies.
  • Serve as a liaison between executives, internal departments, and external stakeholders to facilitate effective communication and workflow.
  • Coordinate and arrange logistics for meetings, conferences, and company events, including venue booking, catering, and materials preparation.
  • Monitor and prioritize incoming emails, phone calls, and requests, responding promptly or redirecting as appropriate.
  • Handle sensitive information with discretion and maintain the highest level of confidentiality at all times.
  • Contribute to the continuous improvement of office processes and administrative systems to enhance efficiency and productivity.

Desired Candidate Profile

Bachelor s degree in Business Administration, Management, or a related field.

  • 5 to 7 years of proven experience in an executive secretary, executive assistant, or similar administrative role.
  • Exceptional organizational and time-management skills with the ability to multitask and prioritize effectively.
  • Strong written and verbal communication skills in both English and Arabic.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Demonstrated ability to handle confidential information with integrity and discretion.
  • Excellent interpersonal skills and a professional demeanor when interacting with executives, staff, and external partners.
  • Strong attention to detail and a commitment to producing high-quality work.
  • Ability to work independently and collaboratively in a fast-paced, office-based environment.
  • Flexibility to adapt to changing priorities and handle unexpected challenges efficiently.
