Job Description
Roles & Responsibilities
Provide comprehensive administrative support to executive leadership, including managing schedules, correspondence, and travel arrangements.
- Coordinate and prepare materials for meetings, conferences, and presentations, ensuring all documentation is accurate and timely.
- Serve as the primary point of contact between executives and internal/external stakeholders, maintaining professionalism and confidentiality.
- Draft, review, and edit reports, memos, and other documents as required by executive management.
- Organize and maintain filing systems, both electronic and physical, ensuring easy retrieval and secure storage of sensitive information.
- Handle incoming calls, emails, and other communications, prioritizing and responding on behalf of executives when appropriate.
- Plan and coordinate office events, meetings, and appointments, managing logistics and resources efficiently.
- Monitor and track project deadlines, deliverables, and follow-ups to ensure timely completion of executive tasks.
Candidate Profile:
- Minimum of 5 years of experience in an executive secretarial or administrative support role.
- Proven ability to manage multiple priorities and work effectively in a fast-paced office environment.
- Exceptional organizational and time management skills with strong attention to detail.
- Excellent written and verbal communication abilities.
- Demonstrated discretion and ability to handle confidential information with integrity.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Strong interpersonal skills and the ability to interact professionally with all levels of staff and external partners.
- Experience coordinating travel, meetings, and events for senior executives.
- Ability to anticipate needs and proactively solve problems.
- Flexibility to adapt to changing priorities and business needs.
