Job Description
Roles & Responsibilities
- Proactively manage the CEO's complex schedule, ensuring optimal time utilization and anticipating potential conflicts, including international travel arrangements and visa applications.
- Prepare and disseminate high-level correspondence, presentations, and reports, ensuring accuracy, confidentiality, and adherence to corporate branding guidelines, with a strong emphasis on proofreading and editing.
- Act as a primary point of contact, screening calls, managing communications, and representing the CEO's office with professionalism and discretion, filtering information and prioritizing urgent matters.
- Coordinate and manage board meetings, executive retreats, and other high-profile events, including logistics, documentation, and follow-up actions, ensuring seamless execution.
- Conduct research, gather information, and prepare briefing materials for meetings and presentations, synthesizing complex information into concise summaries and actionable insights.
- Manage confidential information with the utmost discretion and integrity, including financial data, strategic plans, and sensitive personnel matters, maintaining strict adherence to confidentiality protocols.
- Oversee travel arrangements, including flights, accommodation, and itineraries, ensuring efficiency, cost-effectiveness, and adherence to corporate travel policies, with attention to detail.
- Manage and maintain office systems and procedures, including filing systems, records management, and office supplies, ensuring efficiency and organization within the executive suite.
- Liaise with internal and external stakeholders, including board members, investors, and high-profile clients, maintaining strong working relationships and representing the CEO's interests.
- Handle personal errands and tasks for the CEO, maintaining a high level of discretion, professionalism, and responsiveness.
Desired Candidate Profile
- Holds a Bachelor's degree in Business Administration, Communications, or a related field; a Master's degree is a plus.
- Possesses a minimum of 8-10 years of experience as an Executive Secretary or similar role supporting C-level executives, with proven experience in a fast-paced environment.
- Demonstrates exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with advanced skills in presentation design and data analysis.
- Exhibits outstanding written and verbal communication skills, including excellent grammar, punctuation, and proofreading abilities, with fluency in English and any other languages is an added advantage.
- Demonstrates strong interpersonal skills, with the ability to build rapport, communicate effectively with individuals at all levels, and maintain confidentiality.
- Possesses strong organizational and time-management skills, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines effectively.
- Has a high degree of emotional intelligence, with the ability to remain calm under pressure, handle sensitive information with discretion, and maintain a professional demeanor.
- Possesses strong attention to detail, with the ability to produce accurate and error-free work, and a commitment to maintaining high standards of quality.
- Language Requirements: English/Hindi with Arabic skill is a plus.
